Getting started
- Set up: Tap “Set up a beneficiary” and enter the person you manage money for, your role (representative payee, guardian, or both), and their monthly benefit. Payee Ledger creates a benefits checking account for you. Add savings, cash, or other accounts on the Accounts tab.
- Record the monthly benefit: On the Ledger tab, tap “Record this month's benefit”, or tap + and choose “Record benefit”.
- Record spending: Tap + → Expense. Choose the category; Payee Ledger shows whether it counts as food and housing or other things on the SSA-623.
- Moving money between accounts (for example, checking to savings): use Transfer, not an expense. Transfers aren't spending.
- Receipts: In any entry, tap “Scan receipt” to use the camera, or “Add from Photos”.
SSA-623 (Representative Payee Report)
- Match the period: On the Reports tab, set From and To to the dates printed on your SSA form.
- Figures differ from the form: SSA prints its own amounts for benefits paid and last year's savings. Use SSA's figures on the form. To match last year's saved amount, turn on “Enter last year's saved amount” on the Reports tab.
- “Less than 90%” warning: SSA follows up when your answers don't account for at least 90% of the Total Accountable Amount. Check for missing expenses, missing accounts, or money moved somewhere Payee Ledger doesn't track.
- “More than SSA paid” warning: Usually other income, such as a pension, was deposited into a benefit account. Keep other income in a separate account and turn off “Holds Social Security / SSI money” for that account.
- Filing: Payee Ledger doesn't file anything. Copy the figures onto the paper form, or enter them online with your my Social Security account.
- Do I have to file? Parents or legal guardians of minor children, and parents of disabled adults, who live with them, and spouses, are generally exempt from the annual report. If you're unsure, contact SSA.
Court accounting (guardians)
- Turn it on: In Settings, edit the beneficiary and set your role to guardian (or both), then enter the court, case number, and appointment date.
- Format: The PDF follows the Nevada Supreme Court guardianship accounting form: account summary, Worksheets A–C, and a verification. Review it, then sign and file it as your court requires. Guardians in other states can use the figures, but should check their own court's form.
- Worksheet A doesn't match line 6: Usually an entry is dated before its account's starting date. Change the entry date or the account's “As of” date.
- Receipts over $250: Turn on “Attach receipts over $250” to add them as an appendix. Ask your attorney or the court whether your case requires them.
- Debts and claims: Payee Ledger doesn't track debts. Add them to the accounting as your court requires.
Pro, backups, and privacy
- Restore Pro: Settings → Restore purchases, or the Restore button on the Pro screen. Purchases are tied to your Apple ID.
- iCloud sync: Turn it on in Settings → Sync and backup to keep your ledger on your iPhone, iPad, and a new phone. It's off by default and uses your own private iCloud; DK4G can't see your records. Changes usually appear on your other devices within a minute. If they don't, check that each device is signed in to the same Apple Account and has iCloud Drive turned on.
- New phone: With iCloud sync on, sign in to the same Apple Account and turn sync on in Payee Ledger. Without it, your records move only through an iCloud Backup or a computer backup. Export PDFs and a CSV regularly to keep your own copies.
- Locked out by Face ID: Tap Unlock and use your device passcode.
- Delete data: Settings → swipe a beneficiary → Delete removes all of their records. Deleting the app removes everything on the device.
- Privacy: Everything stays on your device, and in your own iCloud if you turn on sync. DK4G never receives your records. Read the Payee Ledger Privacy Policy.
